Sessions
Search, sort, filter, and batch-manage your locum sessions.
Find a session
Search by practice name, booking source, or invoice number. Useful when reconciling payments or chasing remittance.
Sort and group
Tap the sliders icon. Sort is Newest first, Oldest first, Highest fee, or Workplace A–Z. Group is Month, Source, or No grouping.
Filter by status
The chips are All, Not invoiced, Invoiced, Paid, and Unpaid. Unpaid is sessions that are invoiced and not yet marked paid.
Batch actions
Long-press any session to enter selection mode, then mark several as invoiced or paid in one step. Use Select all in the header, then Mark paid, Create invoice, Mark invoiced, or Delete.
Shortcuts: long-press a session to start selecting. Swipe right to mark invoiced or paid (depends on the current status). Swipe left to delete, with a confirmation. Swipes turn off while you are selecting.
Log a session
Tap Add session on the dashboard, or Log session on the Sessions tab. The screen title is Log session. The app bar shows the chosen date and workplace (or “no practice”). Editing an existing session uses the same form, without Add multiple dates.
See each section below. Required fields are marked with * in the app.
When & where
- Date — tap to pick the session day. LocumBook shows the matching UK tax year.
- Add multiple dates (new sessions only, not when editing) — turn on to reuse the same details across several days. Pattern is Once, Every weekday (Mon–Fri), Weekly on selected days, Every 2 weeks, or Monthly (same date). Set Repeat until and, for the weekly pattern, the weekday chips. Saving more than one date is a Pro feature; the bar then reads Save N sessions. There is an in-app cap on how many dates one save can create.
- Workplace — the label is Practice / site for GPs, Workplace / site for doctors and nurses, and Pharmacy / site for pharmacists (required, marked *). Start typing to search NHS ODS or your saved workplaces. Address is read-only once a site is chosen. Site telephone and NHS email can be filled or inherited from a saved workplace.
Timing & pay
- Session type — the built-in list is Surgery session, Home visit, Telephone / triage, Admin / meeting, Out of hours, Duty / on-call, Care home, Extended hours, and Other, plus any custom type from Session types & pay. On a new session, selecting a type prefills that type’s default hours. When you edit an existing session, hours stay as they are.
- Hours, Hourly rate, and Total fee * are separate fields. Fee auto-calculates from effective hours × rate. Unpaid breaks are still deducted from hours first.
- Editing Total fee directly switches to manual mode so the fee is not overwritten. Changing hours or rate recalculates the fee again.
- Rate cascade: LocumBook prefills hourly rate in this order: workplace or branch default, then session type default, then Global default, then Last used rate (the rate saved after your last session for that workplace and type). Selecting a workplace or session type reapplies the cascade unless the fee is already manually overridden. A hint on the form shows the source, for example Using Oak Surgery default · £95.00/h.
- Set the fallback in Settings → Data management → Session types & pay (Default hourly rate, plus per-type rate and hours) and the workplace rate in Workplaces. Booking platforms are Booking sources. See Settings.
- Hours or Start & finish — switch between typing the length and picking Start and Finish (overnight shows Finish · next day). Times are used for calendar placement.
- Session includes unpaid break — deducts the break duration from billable hours.
- Booking source — Lantum, LocumDeck, or another source you have used.
Invoice & payment
This card stays collapsed unless the session is already invoiced or paid.
- Invoice number
- Invoiced and Paid toggles. Marking paid asks for a payment date.
NHS pension
Shown when pension tracking is on in Settings.
- Toggle whether the session is pensionable.
- Pensionable % is read-only (statutory GP locum rate).
- Pensionable pay and Employer contribution update from the fee. England and Wales use 14.38% (collected from the practice). Scotland and Northern Ireland show the board-paid employer rate instead.
Mileage & extra costs
- One-way mileage — LocumBook doubles this for the round trip and shows the estimated deduction at the right HMRC rate for that tax year.
- Extra costs — parking, tolls, and other costs for this session. They are deductions, not invoice lines. The card title is Mileage & extra costs.
Save
Save session on the bottom bar writes the shift. When multiple dates are selected it reads Save N sessions.
Multiple session logging (Pro)
Use Add multiple dates on the Log session screen (see When & where above). Choose a pattern and Repeat until — the form shows how many sessions will be created. A Pro subscription is required to save more than one date at a time. The save button then reads Save N sessions.
Pro required: Multiple session logging and batch Form A generation from the sessions list.
